Job description

Boutique Finance firm is currently seeking a professional, energetic and detail oriented individual to fill the Team Assistant role within their London office supporting a team of 10 in the firm's International Private Client Team. Candidates must possess the professional maturity to handle confidential and delicate client issues and internal matters. The individual should be excited to work full time in a high energy, fast-paced environment.

The duties of this position include, but are not limited to:

  • Booking travel and creating detailed trip schedules (UK & international)
  • Inputting/submitting expense reports
  • Diary management
  • Printing and binding presentations/sending materials in advance of meetings (internationally)
  • Contact management - experience of Salesforce a plus
  • Assist senior leadership in their everyday needs to ensure their day runs smoothly
  • Booking restaurants/taxis/conferences etc.
  • Schedule conference calls or video conferences as requested
  • Schedule meeting rooms for internal meetings as requested
  • Manage and maintain appointments for team members (internal and external)
  • Assist co-ordination of larger events including board meetings
  • Establish strong working relationships with team members throughout the organization
  • Support the Company's Charity Programme by organising internal and external outings
  • Perform all other projects/responsibilities as assigned

Team Assistant Job Requirements:

  • 2+ years of experience serving as an Administrative Assistant
  • Bachelor's degree preferred
  • Must be highly organized, efficient and a problem solver
  • Have the ability to work independently and proactively on requests
  • Demonstrated flexibility to manoeuvre through multiple deliverables with varying deadlines in a fast-paced environment
  • Superior written and verbal communication skills
  • Maintain the highest standards of poise and professionalism when interacting with clients, colleagues, and vendors
  • Exhibit excellent client service skills, manage deadlines well, maintain a highly professional appearance and pay close attention to detail
  • Strong working knowledge of Microsoft Office; Salesforce or similar CRM system knowledge a plus
