Job description

Environmental energy initiative looking for a Personal Assistant who will be supporting the Director of Marketing, the Deputy Director of Marketing and the Director of Public Relations and Digital Media, which is a brand new role for the company.

You will play a key role in helping the department run smoothly and take decisions in a timely fashion.

As their PA, you'll be responsible for making sure that the each Director has everything they need to be efficient and effective, planning their schedules to make the most of their time and ensuring that they are well prepared, well briefed, and clear actions written.

  • Salary: up to £37,000 Depending on experience
  • Hours: 8.45-5pm

Key tasks / responsibilities

Provide comprehensive personal and administrative support to the Director of Marketing, Deputy Director of Marketing and Director of PR and Digital Media, including, but not limited to:

Provide comprehensive personal and administrative support to the three directors, including but not limited to:

    • Manage complex diaries and workloads, prioritising their time
    • Be the first point of contact for the Director of Marketing, Deputy Director of Marketing and Director of PR and Digital Media, filtering and resolving enquiries
    • Manage their email inboxes, flagging items for action, answering emails or delegating to other team members as appropriate
    • Organise and book travel, arrange internal and external room/venue bookings for meetings, organise conference calls and meet and greet visiting guests
    • Establish and maintain an efficient paper and digital filing system
    • Prepare briefing documents ahead of meetings and phone calls, ensuring all relevant parties are in receipt as appropriate
    • Attend meetings with or on behalf of each of the directors as required, taking notes and minute, and accurate/detailed actions. Assist with tracking and chasing actions from meetings
    • Prepare and circulate agendas, pre-reads and briefing documents ahead of meetings and phone calls, ensuring all relevant parties are in receipt as appropriate

Skills, experience and competencies

Essential

  • Highly organised
  • Direct PA experience at a high level
  • Strong project management skills
  • Able to communicate clearly and confidently
  • Proven ability to manage to diaries and workloads in a fast-paced environment with sometimes conflicting priorities
  • Good secretarial skills; fast, accurate note taking
  • Excellent attention to detail
  • Able to manage upwards, being clear on what is required of people and when
  • Professional and diplomatic, friendly and level headed
  • Great team player but able to work under own initiative
  • Excellent IT skills, especially in the Microsoft Office suite
  • Excellent communication skills (verbal/writing)
