One of our well-established real estate and property clients is looking for a Assistant Administrator to join their team. This is a brilliant role for someone with experience in the property industry, an ambitious and confident nature, and with attention to detail.

The role is paying £25k depending on experience.

REPORTING TO: Property Manager, and Portfolio Manager

  • As part of the Management & Surveying team, the ideal candidate will be essential support in the company H&S compliance administration. This will involve the regular checking of all compliance schedules and informing the team of any upcoming inspections. Under supervision, you will be responsible for booking works in with contractors and liaising with building managers and tenants for access via e-mail and letters/calls.
  • Upon request by the Team, sending out updates and notifications to tenants about works or updates across the portfolio
  • To assist with the co-ordination of contractors and planned works
  • Take maintenance calls/emails and deal with various tenant issues as directed by the team.
  • You will assist in managing the maintenance contractors, overseeing minor works and processing invoices for payment
  • Stationery ordering
  • Assist the team with administrative support where necessary
  • Help to keep buildings' Health and Safety folders up to date with all appropriate cyclical certification
  • Managing utility accounts for those accounts that fall within our team's remit.
  • Reactive maintenance and repair
  • Site visits

The successful candidate will be:

  • Methodical - the portfolio consists of approx. 1200 units spread across approx. 20 blocks. The ideal candidate must be able to demonstrate an organised and methodical approach in order to maintain the health and safety database up to date at all times.
  • Well-Organised - all the H&S documentation must be saved and organised in uniform to the existing format, although the Team are always receptive to new ways of doing things
  • Good memory - often contractors will delay the delivery of certificates and a lot of chasing is required - the fast pace means there is always a lot going on.
  • Good communication skills - The candidate should be articulate with a good command of written English due to the level of correspondence required. Well spoken and written English and a courteous manner is required as there is a lot of written communications in the role.
  • IT skills - most of the scheduling takes place in Excel so intermediate knowledge in this area is critical. Being able to work with formulas.
