Role: Office Manager

Salary: £30-40k DOE + great benefits including equity options

Start date: ASAP

Hours: 8.30am - 6pm

This is a company where everyone mucks in and they have a tight knit admin team of 6 currently. The London office has been growing at a rapid rate despite Covid and they have hired 23 people in the last 2 years. They currently stand at 70 in London and 750 in US, plus an office in Singapore, so it is a very exciting time to join.

Office Manager Duties:

  • Front Desk duties: meet and greet, answering calls, meeting room management, post & couriers etc.
  • Manage office supply inventory, purchasing and vendor escalation
  • Manage outgoing mail, including stamps and/or label creation
  • Colleague onboarding / off boarding (access and parking, for example)
  • Colleague seating and move coordination
  • Building documentation (contacts, maintenance, lighting, safety, furniture, photos)
  • Space maintenance (carpets, glass, furniture, dishwasher, plant maintenance)
  • Property management relations (work permits, elevator usage, HVAC, cleaning / housekeeping)
  • Emergency and safety processes (first aid, AED, emergency processes / evacuations)
  • Support of capital projects involving renovations and/or office moves
  • Assistance to Global Head of Security as needed
  • Work with IT to maintain server/office IT upgrades
  • Develop and maintain vendor relationships
  • Create menus and place catering orders
  • Keep shared colleague space/kitchens stocked with snacks and drinks at all time
  • Coordinate internal and external events
  • Coordinate and assist with office events/celebrations
  • Maintain credit card for office related expenses and prepare monthly credit card reconciliations
  • Order gift/meal delivery for clients and colleagues
  • Create and maintain documentation of office procedures
  • Assist with other audits and projects as needed

Job Requirements for Office Manager role:

  • 2+ years of experience serving as an Administrative Assistant
  • Bachelor's degree preferred
  • Must be highly organized, efficient and a problem solver
  • Have the ability to work independently and proactively on requests
  • Flexibility to manoeuvre through multiple deliverables with varying deadlines in a fast-paced environment
  • Superior written and verbal communication skills
  • Maintain the highest standards of professionalism when interacting with clients, colleagues, and vendors
  • Exhibit excellent client service skills, manage deadlines well and pay close attention to detail
  • Strong working knowledge of Microsoft Office; Salesforce or similar CRM system knowledge a plus
